Duties:
Reporting to the Coordinator for Student Life, the incumbent maintain these major functional responsibilities which includes the following:
  • Coordinate Student Registration: Oversee and facilitate early, regular, and special student registration processes at CTEC, ensuring a smooth and efficient experience.
  • Maintain Academic Records: Manage student academic records in both paper and electronic formats, including but not limited to add/drop forms withdrawal request, clearance forms, grade change memoranda, change of major or Individual Development Plans (IDRs), course substitutions, instructor grade sheets graduate applications, and other related documentation.
  • Admissions and Records Liaison: Act as the primary point of contact for admission and records services at CTEC, providing guidance and support to students and staff.
  • Ensure Confidentiality: Safeguard the confidentiality and privacy of student academic records, adhering to institutional and legal standards.
  • Process Admissions: Handle the admission process for new, transfer, and readmitted students, ensuring accuracy and timeliness.
  • Data Entry and Accuracy: Input and manage campus student records in the Student Information System (SIS), ensuring all data are accurate, complete, and posted in a timely manner.
  • Collaboration for Student Success: Work closely with instructors and academic advisors to provide accurate information necessary for effective student advising, including progress toward degree completion and academic standing.
  • Support Commencement: Collaborate with the Office of Admissions, Records, and Retention (OARR) at the national campus to prepare and organize commencement ceremonies.
  • Entrance Test Proctoring: Assist in administering the COM-FSM entrance test, serving as a proctor to ensure proper procedures are followed.
  • Student counseling and advising: Provide academic counseling and advice to student on issues such as academic standing, degree completion, and major selection.
  • Reporting: Prepare and distribute reports to relevant college stakeholders, including campus- specific enrollment reports, mid-term deficiency reports and necessary documentation.
  • Prepare routine reports: Produce monthly and routine reports as required by supervisors, ensuring accuracy and relevant.
  • Assess Service Effectiveness: Assist the college registrar in conducting regular assessments and program reviews to evaluate the effectiveness of services provided.
  • Document transmission: Organize and ensure the proper paper and/or electronic transmission of required documents to the OARR at the National Campus.
  • Campus Activities: Collaborate with OARR- National Campus in organizing college fairs and other related campus events.
  • Committee Participation and Additional Duties: Serve on various standing committees and/or work groups and perform other duties as assigned to support the campus and college.
Minimum Qualification:

Associate of arts degree in educational counseling, social science or related field from a US accredited college with one year of progressively responsible and professional experience in providing educational services, counseling and related assistance to students or related groups. Software Programs: Working knowledge of MS Office (Words, Excel, and Access). Special Skills, Abilities and Knowledge: Knowledge of COM-FSM programs and organizations; policies and regulations related to the field of assignment; techniques and procedures used in academic and personal counseling. Ability to establish and maintain effective working relationships with students, faculty, and staff; learn specific techniques needed to operate effectively and with empathy with youths; plan, schedule, and evaluate the activities; work with diverse faculty, staff, and students; work as part of a team in accomplishing tasks and functions. Preferred: a bachelor’s degree with 4 years of responsible and professional experience in providing educational services, counseling, or related assistance to students or related groups.
